Similarly to many other production and distribution companies, Aluprof has struggled with difficulties in facilitating an efficient delivery processing. As in a majority of such cases, the aforementioned was a result of a problematic communication between logistics specialists, sales department, suppliers, carriers, the warehouse and the people responsible for the verification of trucks arriving at the gate. Due to the lack of tools that would enable all people engaged in the realization and processing of deliveries to jointly plan a schedule of warehouse operation, exchange information regarding the deliveries and confirm individual stages of realization, etc., the planning of warehouse operation and production was much more difficult. Logistics specialists possessed only the information about expected deliveries, which at such a vast scale, with a broad group of supplies and various unloading zones in warehouses was simply not sufficient. Very often multiple trucks would arrive at the warehouse and there was not enough capacity to process them. As a result, queues formed in front of the warehouse, drivers grew nervous because of the long wait time for unloading while warehouse employees, unable to prepare in advance to process a particular order, required additional time to unload a truck. Apart from that, due to unforeseen deliveries, it was not possible to accurately plan the production.

“Since various groups of people are responsible for the planning and processing of deliveries as well as notifying drivers, the implementation of this type of system has allowed to transfer the work connected to notification to the supplier and alleviate the workload of the logistics department. Suppliers now have a warehouse operation schedule that is updated in real-time and can determine at approximately what time can the product be delivered in order to avoid an unnecessary wait time and when the warehouse is busy. They also see their order and specify which, when and in what form will they be delivering. Such information is automatically transferred into our ERP system. The aspect of integration of two systems plays a vital role in managing the acceptance of several million items that flow through our warehouse every month. It is possible to save time thus far spent on manual booking of windows since the aforementioned enables our system to automatically calculate the processing time needed for a truck, based on the amount and type of the delivered product. Everything that happens is controlled by the logistics and warehouse departments. Today, people responsible for the verification of trucks at the gate have a list of notifications for the particular day with the option of confirming the truck’s arrival and departure. This allows measuring the timeliness of suppliers as well as the time that a truck spends on warehouse premises. Reports on the timeliness of suppliers and the amount of processed deliveries within a specified period of time can be generated based on the data in the system.”
